Weekly Meetings

Meetings are typically held weekly at 18:00 on Monday, with a reminder being sent to members on the mailing list beforehand. Each meeting starts with review of the week, including progress made towards any ongoing projects and any events held during the week. The remainder of the meeting is used to complete any tasks that would be suitable for finishing during the meeting. Most meetings will last around 2 hours, however, sometimes a longer meeting is necessary to finish urgent tasks. Minutes should be taken by the secretary and uploaded to GitHub.

General Meetings

Extraordinary General Meetings (EGMs)

An EGM can be called for by either members of the society or the committee in order to come to decisions on urgent matters. Notice of an EGM must be given at least 3 days in advance. The start time of these meetings is usually later than that of weekly meetings in order to allow a greater number of members to attend, typically the start time of these meetings is 18:30. Annual General Meetings (AGMs)

An AGM is held each year to elect new committee members (see The Committee). Any full member of the society may stand for election. Candidates for the committee should make themselves known in advance of the election, however, they may withdraw at any time.

Votes should be cast anonymously using ballot papers based upon the LaTex template. All full members of the society may vote in elections. Any member may also request a recount of votes. These meetings are required to be held at least every 15 months in accordance with the constitution.
